This collection is a mixture of document types. PDF files require a viewer such as Adobe Reader or FoxIt (windows only) to open. XLS files are a Microsoft Excel format but you can get a free windows only viewer (Excel Viewer 2003) to read and print the files (please be aware you can’t edit them). Additionally Open Office is a free office suite that can also open and edit XLS files. The only issue I know of with using Open Office is that the quarterly report macros will not work.

Step 1: Announce on the Ansteorra-Announce Listserv

  • This is the official channel to broadcast event cancellations to the Ansteorra community.
  • Your post may be reviewed before publishing, but approvals are typically swift.

Step 2: Inform Relevant Kingdom Offices

  • Send a single email with details of the cancellation to the following offices:
    • Calendar Deputy: Maintains the online Kingdom Calendar (calendar@ansteorra.org)
    • Nonmember Surcharge (NMS) Deputy: Handles event report data (nms@treasurer.ansteorra.org)
    • Sable Scroll: Coordinates delivery of event scrolls/insignia (sable-scroll@herald.ansteorra.org)
    • Zodiacus (OP Herald): Updates the court report for the event (zodiacus@herald.ansteorra.org)
  • Include your role in the event’s hierarchy (event steward, branch Seneschal, etc.) for reference.

  • post messages announcing that an event is being cancelled as quickly as possible with information on possible rescheduling

Rescheduling:

You don’t need to have a finalized rescheduling plan at this stage.

Understanding the Problem: Checks that remain uncleared at the end of a calendar year are classified as “stale.” These checks negatively impact your end-of-year report by creating discrepancies between your final report and the starting numbers provided by Corporate.

Preventing Stale Checks:

  • Timely Follow-up: Monitor outstanding checks regularly.
  • Effective Communication: Maintain open communication with check recipients to ensure timely deposit or resolution.
  • Accurate Record-Keeping: Use clear and detailed notes in your ledger to track voided and reissued checks.

Steps to Void a Stale Check:

  1. Verification:
    • Confirm that the check has not cleared within the past six months by reviewing bank statements.
    • Contact the check recipient to inquire about the status of the check.
      • If the check has been received and deposited, monitor your account for clearance.
      • If the check has not been received, request that the recipient not deposit it if found.
      • Determine if a replacement check is necessary.
  2. Voiding the Check:
    • Do Not Remove Expense: Leave the original expense entry in your ledger.
    • Add a Void Note: Clearly mark the check as “voided” in the ledger.
    • Record Void Income: Create a new income entry in your register to account for the voided check amount. Reference the original check number, date, and amount.
  3. Reissuing a Check (if necessary):
    • Create a New Entry: Add a new entry to your register with a new check number.
    • Reference the Old Check: Include the original check number in the memo field.
    • Verify Recipient Information: Double-check the mailing address and delivery method to prevent future issues.
    • Communicate with Recipient: Inform the recipient about the reissued check and encourage prompt action.

By following these guidelines, you can effectively manage stale checks, maintain accurate financial records, and avoid unnecessary complications in your year-end reporting.

Who Pays Full Site Fees?

Non-Members:

  • Pay full price for site admission.
  • Cannot receive comped or free site admission.

Youth Under 18: May receive free or reduced rate without proof of membership.

Family Max

  • Cost: Equivalent to 3 discounted adult member entrance fees.
  • Member Discount: The $10 per person difference for non-members cannot be applied to a family max.

Membership Proof

  • Physical membership card
  • Digital copy of membership card
  • Other electronic proof of membership

Waiver Requirements

Members and Family Members: do not need to sign a general waiver if a signed waiver is on file.

Youth:

  • Without a waiver for the youth on file: You must complete a youth waiver at the gate.
  • With a waiver for the youth on file: You do not need to complete a youth waiver.

Equestrian waiver: An equestrian waiver is required from all adults, even if a general waiver exists.
